Enrollment Instructions

NOTE: If you opened these instructions from Online Data Management, you are still logged in to that system in another window. Close or minimize this window to return to Online Data Management.

The instructions below explain how to complete the enrollment process online. If you have not already logged in, select Online Data Management from the "Links" bar on the left of this page.

Browsing Enrollment Information:

Use the circled numbers in the graphic and the instructions below to complete the enrollment process.

1.

Before you start the enrollment process, gather enrollment numbers from the campuses in your district.

2.

Select the Enrollment tab on the main tab bar.

3.

Select the correct test administration from the Test drop down menu. (Selecting a test may not be necessary if only one test is available.)

4.

Select the Enrollment sub-tab.

5.

If your entire district has no students eligible to take any of the examinations, select the No, I do not plan to participate button.

6.

Beneath each grade/language, Prev indicates last year's administration numbers, and Curr indicates the current year's administration numbers.

7.

If you want to keep all the same numbers from your district's previous administration, select the Complete Enrollment button.

8.

To enter or change enrollment numbers for a single campus, select the link number to the left of the campus name. Select the Save button when you are done.

NOTE: When you select Save, your numbers are recorded in the Pearson database.

9.

To change enrollment numbers for more than one campus, select the Edit Enrollment button. The Edit Enrollment page will be displayed. (See Editing Enrollment Information below.)

NOTE: Remember to select the Save button often to record your enrollment changes. If network problems occur before you select Save, your data may be lost. Select the Cancel button if you do not wish to keep your changes.

10.

If you want to add a campus that has been approved by TEA, select the Add Campus button. Enter the appropriate information on the page that appears and then select the Save button. A Pearson administrator will later verify that the added campus names and campus numbers have been approved by TEA.

11.

If a single campus has no students taking any of the examinations, select the Change link to the right of that campus name. On the Change Campus Information page, check the Not Participating box and then select the Save button.

12.

After your changes are complete, select the Complete Enrollment button.

NOTE: Your enrollment process is not complete until you select the Complete Enrollment button.

If you complete the enrollment process and then make changes to your enrollment numbers, you should select the Complete Enrollment button again.

Editing Enrollment Information:

 

NOTE: Enter exact numbers only. Do NOT round up your totals. Pearson will apply the normal overages at the campus level based on the numbers you submit.

Select the Save button often to record your enrollment changes. If network problems occur before you select Save, your data may be lost. Select the Cancel button if you do not wish to keep your changes.

To get to the Edit Enrollment page from the Browse Enrollment page select the Edit Enrollment button. (See Number 7 in Figure 1.1 above.)

On the Edit Enrollment page, select a percentage for Check Enrollment Quantities. If your current numbers vary by more or less than the percentage you entered (from the "Prev" or last year's administration numbers), the system will display a warning.

Enter your changes for the current administration. For campuses not testing a grade/language, enter zero for that subject.

4.

Select the Save button often to record your enrollment changes. Enrollment numbers entered but not saved may be lost if network problems occur. After you select Save, the Browse Enrollment page will be displayed.

NOTE: When you select Save, your numbers are recorded in the Pearson database.

5.

If you have more pages to edit, select Next to move to the next page you wish to edit and select the Edit Enrollment button again. When you have finished, select the Complete Enrollment button. (See Number 10 in Figure 1.1 above)

NOTE: Your enrollment process is not complete until you select the Complete Enrollment button and follow the Confirming Enrollment instructions.

You may make changes to your enrollment numbers until the Enrollment Period ends. When you make changes to your enrollment numbers, make sure you select the Complete Enrollment button again to finalize your numbers.

Confirming Enrollment:

1.

To finalize your enrollment, select the Next button on the Precoding Option page.

Select the Next button on the next page to continue.

3.

Finally, select the Confirm Enrollment button to complete the enrollment process.
